Transportation User Roles

TheWorxHub gives you the ability to create customized user roles with various sets of permissions. This page outlines user roles found in a typical transportation department along with our recommended set of permissions for each role.

Drivers

Any user added to TheWorxHub can serve as a driver for trips with the appropriate permission assigned to their user role. We recommend creating a "Driver" user role to identify your staff that can be assigned as a trip driver.

Creating a Driver User Role

  1. Click on the Settings tab, then select the Users tab.
  1. Click the New Role button.
  2. Enter a name, such as "Driver", for the User Role in the Type New Role Name Here box and click OK.

Applying Permissions

  1. Click Transportation permission category to expand this section of permissions.
  2. Check the boxes for the Can be Assigned as Driver permission and Visible on Requestor Calendars permission.
  3. Select any other applicable permissions by clicking on the permission category and checking the box next to each permission the user role should have.
  4. Click Save to add this User Role.
  5. You can now add staff with the "Driver" user role to your WorxHub account. Check out the Adding Staff page for more information.

 

       Bright Idea: 

If your drivers are responsible for other tasks at your organization you can apply the Can be Assigned as Driver permission to any existing user roles. For example, if your custodians also drive vehicles for trips, you could add the permission to the Janitor user role.

Transportation Coordinator/Supervisor

This user role title may vary depending on your organization. The user in this position may be a lead driver, an activities staff member, a manager from another department, or sometimes a concierge.

Creating the User Role

  1. Click on the Settings tab, then select the Users tab.
  2. Click the New Role button.
  3. Enter the Name of the new role and click Ok.

Apply Permissions

  1. Click on the User Role name you just created in the My Roles section.
  2. In the Permissions window, click on the permission category and check the box next to each of the permissions applicable for this role.

General

  • Search Tab
  • Reports Tab
  • Settings Tab

Dashboard

  • Overview Tab
  • Requestor Tab
  • Work Orders Section
  • Reminders Section

Work Orders

  • Add & Search Requests
  • Can Use Templates
  • Can Add Meter Readings
  • Can Assign Others

Assets

  • Can Add/Edit Asset Info

Staff/Contractors

  • Can Add/Edit Staff/Contractor Info

Transportation

  • Check all checkboxes in this category except Can be Assigned as Driver.

Settings

  • Misc
  • Transportation

Locations

  • Check all checkboxes in this category.

Trip Requestors

You may only allow specific users access to make trip requests. In TheWorxHub, you can make an additional requester user role with the ability to request trips.

Creating the User Role

  1. Click on the Settings tab, then select the Users tab.
  2. Click Requestors under the Standard Roles section.
  3. Click the Copy Role button.
  4. Enter the Name of the new role and click Ok.

Apply Permission

  1. Click on the User Role name you just created in the My Roles section.
  2. In the Permissions window, click on the permission category Transportation.
  3. Check the box Add & Search Trip Requests.
  4. Click the Save button to create this user role.
